Complimentary room upgrades: separate price differences from extra costs

A complimentary upgrade does not automatically lose the difference between two advertised room rates. First calculate the extra service cost; then examine a separate alternative in which somebody would actually pay for the higher category. An otherwise empty room and a room whose sale is displaced are different comparisons. Your decision needs explicit scenarios rather than one large, misleading loss figure.

Define what changes

Oracle’s room-move documentation distinguishes the occupied category from the category charged. Nor1 documentation also treats complimentary upgrades as a separate reporting category. These are public product examples of separating operational changes from charges, not evidence of a Stayax feature. The following exercise is entirely fictional, not a software report or revenue forecast. A guest has booked a standard room for two nights and is offered a larger room without changing the agreed charge. Assume the original room revenue stays identical in both options. Compare only the amounts affected by the decision. Exclude taxes, channel charges, refunds, packages and additional sales. If those assumptions change, this simple calculation is insufficient.

Scenario one: the higher category stays empty

Assume additional cleaning and preparation cost TRY 120 once per stay, with extra consumables costing TRY 40 per night. For two nights, incremental cost is 120 + 2 × 40 = TRY 200. These invented amounts are neither market prices nor recommended costs. Add staff time separately if it changes; here we assume no other variable cost. Without the upgrade, the higher category would remain empty, and the vacated standard room would not be resold. Additional room revenue is therefore zero and additional cost is TRY 200. The advertised category price difference is not a realised lost sale. Equally, unchanged revenue does not make the upgrade costless: preparation and supplies still add TRY 200. Avoid both errors together.

Scenario two: a paid upgrade is accepted

Consider a different fictional alternative: the guest genuinely accepts an additional TRY 500 per night for the same two nights. Extra revenue is 2 × 500 = TRY 1,000. With the same TRY 200 incremental cost, additional contribution is 1,000 − 200 = TRY 800. The revenue difference between the free and paid choices is TRY 1,000; TRY 800 is the paid alternative’s contribution after incremental costs. Do not give the same number two meanings. This example does not prove the guest would accept. Without acceptance, do not report TRY 1,000 as a completed sale. If the complimentary move addresses a service problem, document that reason separately rather than assigning invented money to anticipated satisfaction. The calculation explains only the measurable part of the decision.

When another room sale is affected

A different guest requesting the higher category creates a third question. Compare that request’s dates and conditions against every night occupied by the upgrade. Demand for one night does not establish a possible sale for two nights. Reselling the standard room is another separate condition. No such demand or future price is assumed here. Beside “could have sold”, specify whether the evidence is a confirmed request, an unanswered enquiry or merely a published rate. These have different certainty; an unconfirmed possibility is not definite lost revenue.

A meeting checklist

  • Separate unchanged booking revenue from costs that actually change.
  • Count the TRY 120 stay cost once and the TRY 40 nightly cost twice.
  • Record TRY 200 additional cost for the free case; TRY 1,000 revenue and TRY 800 contribution for the paid alternative.
  • Do not record unaccepted offers or unconfirmed demand as completed revenue.
  • Note the service reason, authorised decision and question requiring later review.

Make one bounded decision today

For one forthcoming date, write down the unchanged booking, the costs the upgrade changes and any evidenced paid alternative. Investigate missing inputs before drawing a conclusion from the tariff difference. This is not a rule for the whole season. The linked occupancy analysis helps define dates; the booking-window analysis distinguishes visible demand from unresolved questions. The official room-move and Nor1 documents were accessed on 17 October 2026. Their product-specific conditions do not establish another system’s behaviour.
